Job description:

Training administrator will have to perform the necessary reception responsibilities as well as assist with managing the technical training administration to ensure adherence to legal requirements and standards.

Function:

Functions of reception

Accept visitors and make sure everyone fills out the visitor registration form.
Before attending the workshop, make sure that all guests have the necessary documentation, and make preparations with the staff of the training centre.

Attend to training-related inquiries (including walk-ins, phone calls, and emails).

Administration

Correct the Apprentice manual as needed, then turn it in to HR.
Make appointments for Apprentices to discuss salary issues with the HR Offices.
Send the HR the apprentice leave forms.
Ask for time cards from outside training providers (like FDT).
Observe the site placements of the apprentices.
Distribute pay stubs and make sure to get the apprentices’ signatures.

Help with applications for trade tests:
Make arrangements for a purchase order and ask the trade test centre for a price.
Ask the merSETA about the dates that are open.

Make the necessary agreements with Fluor/EBS.
Invoices from the GRV trade test facility should be sent to HR as soon as all test results are received.
Set up notices of End of Contract for apprentices who complete their trade exams.
Schedule yearly and exit exams:
Make a purchase request, set up a purchase order, and schedule a booking with industrial health.

Update the records and follow up with merSETA on red seal certificates.
Send red seal certificates to the designated individual for Eskom (projects) reporting.
Aid pertinent departments with supporting documentation for yearly B-BBEE reporting.

Update the Apprentice portfolio of evidentiary files both electronically and in hard copies.
aid in SAIW, TUV, and merSETA audits.
Plan the requested meeting, then record the minutes.
Keep all office records (reports, meeting minutes, supplier requisitions with invoices, leave applications, manual corrections, attendance records, etc.) in a file.
